Welcome to HOA Notice Board. These Terms of Service govern your access to and use of the HOA Notice Board website, application, and related services.

By using HOA Notice Board, you agree to these Terms. If you do not agree, you should not use the service.

1. About HOA Notice Board

HOA Notice Board is a private communication and record platform designed for homeowner associations, condominium associations, property communities, boards, managers, and authorized residents. The service provides tools for official notices, maintenance updates, approved vendor information, emergency contacts, community records, and related administrative communication.

HOA Notice Board is not a public forum, social network, review site, legal record system, voting system, accounting platform, or property management replacement. Each community remains responsible for its own governance decisions, records, communications, compliance obligations, and use of the platform.

2. Accounts and Authorized Users

Access to a community workspace is limited to authorized users invited or approved by that community’s administrator, board, or management representative.

Users are responsible for keeping their login credentials secure and for all activity that occurs under their account. You agree not to share your login credentials, access another user’s account, or attempt to access a community workspace where you are not authorized.

A community administrator is responsible for managing user access, roles, invitations, and account accuracy within that community.

3. Community Content

Content posted in HOA Notice Board may include notices, maintenance updates, documents, vendor entries, emergency information, owner-facing records, and other community materials.

Each community is responsible for the accuracy, appropriateness, legality, and completeness of the content it uploads, publishes, or distributes through the service. HOA Notice Board does not independently verify community content and does not act as the board, manager, attorney, accountant, contractor, or official decision-maker for any community.

Users agree not to upload, publish, or distribute content that is unlawful, abusive, defamatory, misleading, invasive of privacy, or otherwise inappropriate for an official community communication platform.

4. Official Communications

HOA Notice Board is designed to support clear, durable community communication, but each association remains responsible for determining whether a notice satisfies any legal, governing-document, meeting, election, delivery, or recordkeeping requirement.

Use of the platform does not guarantee compliance with any law, regulation, governing document, court order, or association obligation. Communities should consult qualified legal counsel for questions about official notice requirements or legal compliance.

5. Vendor Directory

The vendor directory is intended as a private, community-curated resource. Vendor listings, notes, approvals, or internal feedback do not constitute a public endorsement, guarantee, warranty, or recommendation by HOA Notice Board.

Each community is responsible for reviewing vendors, deciding which vendors appear in its directory, and determining whether a vendor is appropriate for its needs. Owners and residents remain responsible for their own decisions when hiring or contacting any vendor.

6. Payments and Subscriptions

Paid plans are billed according to the pricing and subscription terms shown at the time of purchase. Subscription access may depend on successful payment and continued account standing.

If payment fails, is disputed, or is not completed, HOA Notice Board may limit, suspend, or terminate administrative access to the affected community workspace. Owner access and stored records may be handled according to the account status, product settings, and applicable retention practices.

Taxes, payment processing fees, currency conversion, and payment method rules may vary depending on the payment provider and customer location.

7. Acceptable Use

You agree not to misuse the service. This includes, but is not limited to:

  • attempting to bypass access controls or security protections;
  • uploading malicious code or harmful files;
  • using the service to harass, threaten, or defame others;
  • scraping, copying, or extracting data without authorization;
  • impersonating another person or organization;
  • using the service for unlawful purposes;
  • interfering with the operation or availability of the platform.

8. Service Availability

We work to keep HOA Notice Board reliable and available, but we do not guarantee uninterrupted service. The platform may be unavailable due to maintenance, updates, hosting provider issues, third-party service interruptions, internet failures, security events, or circumstances outside our control.

We may modify, improve, suspend, or discontinue parts of the service as needed.

9. Third-Party Services

HOA Notice Board may rely on third-party providers for hosting, authentication, database services, email delivery, payments, file storage, translation, analytics, or other operational functions. These providers may process data as necessary to deliver the service.

We are not responsible for outages, delays, errors, or policy changes caused by third-party services outside our control.

10. Intellectual Property

HOA Notice Board, including its software, design, branding, workflows, and platform structure, is owned by HOA Notice Board by MTB FL LLC or its licensors.

Community content remains the responsibility of the community or user that provides it. By uploading or publishing content, you grant HOA Notice Board the limited right to store, process, display, transmit, and deliver that content as needed to operate the service.

11. Termination

We may suspend or terminate access if a user or community violates these Terms, fails to pay required fees, creates security risk, misuses the platform, or uses the service in a way that may create legal, operational, or reputational harm.

A community may stop using the service according to its subscription and cancellation terms.

12. Disclaimers

HOA Notice Board is provided on an “as is” and “as available” basis. We do not guarantee that the service will be error-free, uninterrupted, legally sufficient for any particular association requirement, or suitable for every community situation.

We do not provide legal, accounting, governance, property management, construction, emergency, insurance, or professional advice.

13. Limitation of Liability

To the fullest extent permitted by law, HOA Notice Board is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost data, business interruption, reputational harm, or claims arising from community content, vendor decisions, user actions, or third-party services.

14. Changes to These Terms

We may update these Terms from time to time. When we make material changes, we will update the “Last updated” date and may provide additional notice where appropriate. Continued use of the service after changes become effective means you accept the updated Terms.
